SchoolSet Release Notes – 06/01/2025

We’re excited to share the latest updates and enhancements to SchoolSet, aimed at improving administrative flexibility, financial workflows, and document customization. These changes help schools streamline registration, billing, and contract management processes more efficiently than ever.

Admission Cards

A new feature now allows schools to generate customizable Admission Cards as part of the registration process. These cards can be personalized and sent to families digitally or in print, offering a more polished and consistent registration experience.

Key Points:

  • Users can set up a template for Admission Cards

  • This allows users to define an admission card to be incorporated into the registration process

  • The Admission Cards can be printed or emailed out to the family

Where This Is Located:

  • The admission card template is located under:
    Settings → Registration Setup → Admission Cards

Payment Updates

We’ve expanded SchoolSet’s payment capabilities, including support for Stripe (with ACH support in Canada), flexible installment payment management, and improved contract tools. These updates offer greater control and clarity over tuition collection and recordkeeping.

Key Points:

  • Integration with Stripe

    • Stripe is now an additional merchant account that can be used in SchoolSet

    • Adds the ability to offer ACH payments in Canada

  • Ability to apply payments to multiple installments of a payment plan or scheduled payments

  • Automatically close pledges when they are paid up

  • Generate a payment link for only one school year

  • Generate contract documents without including previous year balances

Where This Is Located:

  • Stripe: Settings → Merchant Accounts

  • Payment installment management: Add/Edit Payment Screen

  • School-year-specific payment link: accessed from Contract Actions; also available as a new Merge Tag in broadcasts

  • Contracts excluding prior balances: accessed from Create Contract action on contracts

Invoices

Invoice generation has been created to allow users to issue invoices for individual or multiple contract fees, with options to include or exclude discounts and payment records.

Key Points:

  • Invoices can be generated for specific fees

  • Option to generate the invoice with or without discounts and payments

  • Users can generate an invoice for a single contract fee or multiple invoices at the same time for various contract fees

Where This Is Located:

  • Invoices can be generated from the Actions within:

    • The Fees section of the Contract Details

    • The Contract Fees Report
