SchoolSet Release Notes – 07/10/2025

We are pleased to announce a series of enhancements to SchoolSet, designed to streamline your daily workflows and provide families with a clear, organized experience for registration, billing, and financial management. These updates will give schools greater flexibility, improve communications with parents, and strengthen your operational efficiency.

Online Registration

We have introduced a comprehensive online registration module, enabling schools to manage student enrollment with ease while providing parents with a clear, guided experience.

Key Points:

  • Schools can send secure links to parents, allowing them to complete student registration online from any device.

  • Parents can review and update family information during registration, completing the fields required by the school while having the flexibility to edit additional details as allowed by school-defined settings.

  • Schools can specify required forms, medical information, and financial agreements that parents need to complete as part of the registration process.

  • Parents can fill out required information and upload supporting forms directly through the online registration workflow, reducing paperwork and office follow-ups.

  • Schools can define and manage registration periods to align with internal enrollment timelines.

  • Parents can set up their preferred payment methods and select from school-defined payment plans to align with their financial responsibilities.

Where This Is Located:

  • Schools can setup the online registration process accessed from Settings Registration Setup

  • Parents can access Online Registration through a link included in the Registration Broadcast

  • The broadcast is generated from the Send Registration button in Settings Registration Setup General Settings

Statements

We have enhanced the Statements functionality to give schools more flexibility in managing and distributing statements while providing clear, straightforward communications to parents.

Key Points:

  • Schools can generate statements with or without detailed payment allocation breakdowns, providing flexibility based on your communication preferences with families.

  • Schools can now send manual batch statements directly to parents, allowing schools to distribute statements electronically at any point in time and not just on the automatic run dates.

Where This Is Located:

  • Batch statements are accessible from Actions within Financial Contracts

  • The option to show or hide allocations appears on the dialogue that appears when generating statements.

  • The default behavior for the appearance of allocations is set from Settings Statements and Contracts General Settings

Receipts

The Receipts process has been updated to improve clarity when handling payments split between contracts and donations.

Key Points:

  • Schools can generate separate receipts when payments are split between contracts and donations, ensuring clear records for both school accounting and family documentation.

  • Parents can receive targeted receipts for specific payment types, with the ability for schools to select the desired receipt(s) during creation to match each family’s needs.

Where This Is Located:

  • From the Payment tab on Contracts or Families, there is a Send Receipt action. For receipts that contain both contract fees and donations, the user will be prompted to select the receipts desired

Contracts

The Contracts module has been refined to improve financial visibility and the professionalism of your documentation.

Key Points:

  • An additional visual graph has been added at the top of the contract page displaying balances and paid amounts by fee, providing clear insights during contract reviews.

  • Footers have been added to PDF contracts for a polished, complete document presentation.

Where This Is Located:

  • The graph has been added to the Contract Details accessible from Financial Contracts

  • Batch PDF Contracts are accessible from Actions within Financial Contracts and single contracts are accessible from the Contract Details

Payments

We have made key updates to the Payments module to enhance financial tracking and reporting clarity.

Key Points:

  • Payment allocations are now sorted automatically on the add/edit payment screens based on fee and rule priorities, reducing manual steps and maintaining consistency.

  • Totals have been added to the Payment Report

Where This Is Located:

  • Payment allocation sorting has been implemented in the Add/Edit Payment screen

  • Fee and Rule priorities are set within Settings Fee Types

  • The Payment Report is accessible from the Reports menu
