This release introduces a range of updates that strengthen core areas of SchoolSet. Highlights include the launch of the new Report Cards module, giving schools a structured and flexible way to create and share student report cards. We’ve also streamlined student status tracking, made billing more adaptable with multiple responsible parties, enhanced the registration workflow, expanded parent portal insights, and improved department structures. Together, these updates are designed to reduce administrative complexity, give schools more control, and create a smoother experience for staff, students, and families.

Report Cards

The new Report Cards module provides a flexible way to design and manage student report cards. It supports a variety of grading methods, customizable content, and streamlines the process of tracking, drafting, reviewing and distributing the report cards.

Key points

  • Multi-layered subjects: Organize subjects hierarchically (e.g., Math with Addition and Division as subtopics).

  • Intuitive interface: Easily create, edit, and rearrange subject structures.

  • Versatile grading options:

    • Numerical scales (01–100)

    • Letter grades (A–F)

    • Descriptive assessments (Excellent, Very Good, Satisfactory, Needs Improvement, Failing)

  • Customizable content: Include attendance records, subject-specific comments, and general notes.

  • Batch setup: Assign semesters, departments, classes, and teachers to report card batches.

  • Dynamic dashboard:

    • Track progress (not started, in draft, ready for approval)

    • Facilitate reviewer approvals and change requests

    • Exchange comments between graders and reviewers

  • Flexible output: Generate single PDFs or multiple PDFs in a zip file.

Where is it located

  • The settings for report cards (Terms, Subjects, Scale Types) are found in Settings → Report Cards

  • The Report Cards module is accessible from the Main Menu

Streamlined Student Status

Student statuses have been simplified to remove redundancy and improve clarity across the system. Schools now manage a single status field, customizable for their internal needs.

Key points

  • Unified status: Eliminates duplicate fields for a clear, single point of truth.

  • Customizable definitions: Schools can define what each status means, from application through graduation and beyond.

  • Year-based tracking: Statuses are maintained and tracked by school year.

Where is it located

  • The student statuses can be defined at Settings → Set up School Structure → Student Statuses

Responsible Parties

Fee management is now more flexible with support for multiple responsible parties. This update makes it easier to reflect real-world arrangements for billing and accountability.

Key points

  • Assign fees to families, parents, or other entities (scholarship funds, organizations, government programs, etc.).

  • Contracts support multiple responsible parties.

  • Generate individualized statements based on each party’s responsibilities.

Where is it located

  • Entities are located on the Main menu under Contacts

  • In the locations in the system where you assign fees and Post Payments, you can now assign the Fees and Payments to the appropriate Responsible Party

Registration

Registration tools have been updated to provide clearer tracking and more options for online enrollment setup.

Key points

  • Admission Cards tracking: New column on Registration Dashboard to show whether admission cards have been sent.

  • Customizable online requirements: Show, hide, edit, or require checkboxes as desired on the online registration portal.

  • Flexible payment setup: Adjust the start date for online registration payments.

Where is it located

  • The Online Registration process setup is accessed from Settings → Registration Setup

  • The Registration Dashboard is accessed from The Main Menu

Parent Portal

Parent portal management now includes better tools for monitoring usage and engagement.

Key points

  • Added column and filter on the Parent list to track parents by portal status.

    • Portal statuses include: Not invited, Invited, Active.

Where is it located

  • The New Column and filter is located on the Parents Table accessible from the Main Menu

Streamlined Department Structure

Department features have been refined to provide clearer organization of staff and more efficient contract management.

Key points

  • Generate contracts by department.

  • Associate staff members with departments for better role management.

Where is it located

  • Department setup is found under Settings Set Up School Structure School Year and Departments
