SchoolSet Release Notes
This release delivers a wide range of improvements across Forms, Online Registration, financial management, Documents and Files, Immunizations, Transportation, Fundraising, and other core areas of SchoolSet. Highlights include expanded payment options within Forms, more accurate contract and account balances, fillable and AI-generated documents, stronger registration controls, improved immunization tracking, and significant performance and usability enhancements throughout the system. Together, these updates are designed to reduce manual work, improve data accuracy, and provide a smoother experience for both school staff and families.
Forms
The Forms module has been expanded to support more flexible workflows, payment arrangements, file handling, and parent-facing content. Schools can now create more complete forms while maintaining better connections between submissions, payments, files, and the appropriate people in SchoolSet.
Key points
Users can save partially completed forms and return later to finish them.
Schools can insert images directly into forms, making it possible to display charts, instructions, or other reference materials while a user completes the form.
Itemized forms using Independent Fees can now offer payment plans based on the total value of the selected items.
Forms can require either a fixed minimum payment or a percentage of the total, with the remaining balance placed on a payment plan.
Coupon codes can now be used with form payments.
Users can use existing saved payment methods when paying through a form.
Form payments now follow the correct merchant account and processing-fee rules based on whether the form is connected to a contract fee, Independent Fee, or fundraising campaign.
Forms can create and connect payments to Independent Fees, with different fee types available for separate form items.
A form submitted without a predefined audience can be linked afterward to a specific person. Related fees, payments, and uploaded files will then be associated with that person.
Form broadcasts now support the appropriate audience types, including parents, students, and donors. Student forms can generate a separate link for each applicable student in a family.
Changing the school year of a form now protects existing submissions. Forms without submissions can be moved, while forms with submissions can be copied into another school year.
Individual form submissions can be downloaded or printed directly.
When downloading a submission with attachments, the completed form now appears before the attached files.
Files uploaded through forms now sync to the Files module, including applicable files from earlier submissions.
Required file fields now handle upload limits correctly.
Optional processing fees are now displayed properly on public forms.
Form captions have been updated to remove the word “Required” where files, documents, or forms are optional.
Where is it located
The Forms module is accessed from the Main Menu → Forms. Submitted forms can also be viewed from the Forms tab on family records and from the Registration Dashboard when the form is part of registration.
Online Registration
Online Registration has been refined to provide more accurate completion tracking, stronger payment controls, clearer admission-card workflows, and better handling of family requirements. These improvements help prevent incomplete registrations from being marked as complete and reduce issues that could block parents during the registration process.
Key points
Changes made to the Payment Requirement setting now save and apply correctly.
Schools can choose whether payment methods must remain required when a contract has already been paid in full.
When that option is disabled, a paid-in-full family will not be prevented from completing registration solely because payment methods are not on file.
Credit cards can now be added without encountering empty card-token errors caused by merchant-account configuration.
A failed registration payment will no longer cause the registration to be marked as complete.
Early-bird discounts are now applied only when the applicable registration requirements have been completed.
Manually setting a registration to complete no longer creates duplicate form-approval requirements.
Required payment-plan start dates can now be set up using an exact configured date.
Currency symbol display mismatches have been corrected
Admission cards now include only students who are part of the applicable academic year.
Admission-card broadcasts now send correctly without producing an error status.
Registration links will no longer include an older contract when no current contract exists.
Immunization requirements on the Registration Dashboard now identify the applicable student by name.
Minimum and maximum Emergency Contact requirements are now validated to prevent conflicting settings.
Blank emergency-contact last names no longer display as “null.”
Documents uploaded through the Registration Dashboard now sync to the appropriate family files.
Selecting a form requirement from the Registration Dashboard now opens the specific submitted form rather than the general submissions list.
Where is it located
Registration settings are located under Settings → Registration Setup. Registration progress and requirements are managed from the Main Menu → Registration Dashboard. Parent-facing features appear in the Online Registration experience accessed through the registration link.
Contracts and Fee Management
Contract and fee workflows have been updated to improve calculation accuracy, installment management, assignment workflows, reporting, and performance. These changes provide schools with clearer balances and more reliable financial information throughout the contract lifecycle.
Key points
Discounts applied at the installment level are now calculated accurately.
Contract documents now display the applicable discount amount.
Contracts can display all students in a family rather than limiting the top section to five students.
Fee installments are now presented more consistently on contracts.
The underlying fee-installment structure has been upgraded to improve grouping, calculations, and reporting.
A contract-generation issue that could result in entered fees disappearing after a refresh has been resolved.
Contract and account-balance calculations have been reworked for better reliability and performance.
Pages that calculate academic-year financial data now load more efficiently, particularly when Independent Fees are involved.
The Contracts list now includes an Assigned To column.
Contracts can be assigned individually or through a bulk assignment action directly from the Contracts list.
Filtered contracts can now be downloaded as a batch directly from the Contracts page.
Fee accordions once again display the remaining balance.
Editable fee amounts are now presented more clearly.
Column customizations on Contract Details remain in place after fees are added or deleted.
Contracts and Collections now display student-status information correctly.
Contracts can be filtered by student status.
Independent Fees can be filtered and sorted by fee type, amount due, and amount paid.
Manual payment obligations now move to Due Today and then Past Due as their dates arrive.
Payment views can display past-due amounts and track how many days an amount is past due.
Pending payments no longer incorrectly increase the displayed payment-due amount.
Scheduled totals on Contract Details now include only payments allocated to the applicable school year.
Schools can exclude processing fees from a specific manual payment, scheduled payment, or payment plan even when a general fee rule exists.
The Select All option for Responsible Parties now works when creating contracts.
Contract Fee Report installment views now include additional financial columns such as discounts, total amount, amount due, payments, pending payments, credits, pending credits, and balances.
Contract Fee Reports now include totals for paid amounts, pending payments, credits, and pending credits.
Fee-screen terminology has been clarified by replacing “No Payments” with “No Installments” where applicable.
Fee date columns have been renamed to distinguish the fee Start Date from the individual Installment Date.
Where is it located
Contracts are accessed from Financial → Contracts. Fee information is available from Contract Details and relevant family financial pages. Contract Fee Reports are accessed from the Reports menu.
Payments and Wallets
Payment workflows have been strengthened to support more accurate processing-fee handling, better ACH management, clearer payment details, and improved wallet visibility. These updates help schools manage payment activity consistently across contracts, families, donors, and forms.
Key points
Stripe and ACH setup issues affecting Canadian merchant accounts have been corrected.
ILS has been added to the available currency options.
ACH payments can now be refunded or voided without the action becoming unresponsive.
Rejected ACH transactions can be set up to be reversed automatically within SchoolSet.
Scheduled payments now respect settings that prevent processing fees from being charged.
Disputed payments remain visible in the family Payments/Credits tab.
Disputed unallocated payments are no longer included in the unallocated-payment widget total.
Recurring credits automatically change from Scheduled to Accepted when their effective date arrives.
Parents no longer receive payment-charge notifications when a recurring credit is processed.
The family Wallets tab now displays both family and parent wallets and identifies the payer associated with each wallet.
Existing saved wallets can be used when making payments through Forms.
Block-processing-fee settings are now visible directly in family, donor, and entity tables.
Payment fees are now visible on donor payment records and can be included when issuing a refund.
Check dates and check numbers are available from the Payments section on family records.
Payments shown on the family financial page can now be edited using the same options available from Contract Details.
Payment descriptions are now passed correctly to the merchant account.
Where is it located
Payments are managed from Contract Details and from the Financial tabs on family, parent, and donor records. Wallets are located on the family record. Form payment options appear on the applicable public Forms pages.
Statements, Receipts, and Financial Reports
Statements and receipts have been improved to provide more reliable generation, clearer responsible-party reporting, and more complete payment information. Financial reports have also been updated to better recognize donors and Independent Fee activity.
Key points
Manual batch statements can now be sent successfully to parents.
Individual family statements can be downloaded without producing a bad-request error.
Statement generation now handles payments allocated to Independent Fees correctly.
Automatic statements can exclude accounts that have both a zero balance and no activity during the statement period.
Statements generated for Responsible Parties are divided according to each party’s assigned financial responsibility.
Receipts now display the correct Independent Fee name.
Receipt templates can optionally include the payment method, check number, and payment note.
Donors who are also contacts are now identified correctly on financial reports.
Where is it located
Statements are available from Financial → Contracts → Actions and from applicable family or contract records. Receipt actions are available from payment records. Financial reports are accessed from the Reports menu.
Files and Documents
The Files and Documents experience has been expanded to support fillable PDFs, AI-generated documents, donor files, and more efficient bulk uploads. The menu structure has also been reorganized to make these tools easier to access.
Key points
Files is now the primary menu item for file management.
Prefilled Docs and AI Docs are organized beneath the Files area.
Schools can create fillable PDF documents that combine SchoolSet merge tags with fields completed by the end user.
Fillable documents can include signatures.
Completed documents are saved directly into SchoolSet without requiring the user to download and re-upload them.
Documents connected to registration are saved with the applicable registration requirement.
Completed documents are saved to the family’s files.
AI-generated documents can be prefilled and then emailed or downloaded.
The File Drop Box supports bulk file uploads.
AI can suggest which records uploaded files belong to, while allowing the user to review and approve those connections.
Files can now be connected directly to donor records.
Donor records include a Files tab for viewing associated documents.
Filtering Files by the Relates To field no longer produces an error.
Form and registration uploads now sync more consistently to the appropriate records in the Files module.
Where is it located
Files, Prefilled Docs, and AI Docs are accessed from the Main Menu → Files. Linked documents can also be viewed from applicable student, family, registration, and donor records.
Immunizations
Immunization management has been updated to improve accessibility, synchronization, status automation, and vaccine-requirement accuracy. Staff can review and maintain records with fewer navigation steps and clearer student information.
Key points
Immunization records can now be edited directly from the student profile.
A Date of Birth column has been added to the Immunizations list.
Immunization synchronization has been made more reliable.
Memory-related errors during large immunization synchronization processes have been addressed.
Updated-record filters used during immunization synchronization have been corrected.
An In Process immunization automatically changes to Due when its due date arrives.
IPV summary information now matches the underlying Vaccine Details.
Meningitis and TDaP dosage requirements have been corrected.
DTaP and DTP rules have been adjusted so outdated requirements are no longer applied incorrectly.
Immunization requirements shown during registration now include the student’s name.
Additional immunization synchronization and requirement issues have been resolved.
Where is it located
Immunizations are accessed from the Main Menu → Immunizations. Student-specific records can also be reviewed and edited from the student profile.
Transportation
Transportation routing has been updated to improve the reliability of route changes, validation, and live map information.
Key points
Transportation data now supports versioning for safer tracking of route changes.
Additional validation has been added to transportation workflows.
Live route updates now refresh the latest stop correctly.
Updating a stop from the Routes map also refreshes the displayed route line.

Transportation routes are managed from Transportation → Routes.
Fundraising and Donors
Fundraising and donor management have been optimized to improve page performance, donor information, campaign generation, and record merging.
Key points
Donor Details can display both the donor’s personal name and company or organization name.
When a donor type is changed from a company or corporation to an individual, the company name is cleared appropriately.
Fundraising pages have been optimized for faster loading.
Errors that occurred when using AI to generate a campaign page have been corrected.
Donor search and merge performance has been improved.
Multiple donor records can be merged into a single record, with the ability to choose which information should be retained.
Sold-out fundraising packages can no longer be selected from the public donation page.
Processing-fee settings are easier to identify directly from the Donors list.
Donor files can be uploaded and managed from the donor record.
Donors are now recognized correctly as contacts in applicable reports.

Donor management is accessed from Fundraising → Donors. Campaign tools are available from Fundraising → Campaigns.
Broadcasts and Communications
Broadcast tools have been enhanced to improve merge-tag accuracy and ensure Forms are sent to the correct recipients.
Key points
An address merge tag is now available for email and SMS broadcasts.
Student merge tags now include only students from the applicable academic year.
Form broadcasts can be directed to the correct audience type, including parents, students, and donors.
When a student form applies to multiple students in one family, separate form links can be generated for each student.
Admission-card communications now send without producing an error status.

Broadcasts are accessed from the Main Menu → Broadcasts. Registration-related broadcasts are also available through the registration setup and dashboard workflows.
Lists, Labels, Tables, and Navigation
Several system-wide improvements have been introduced to make large lists easier to filter, navigate, and review. These updates are especially helpful for schools working with large student, parent, family, and financial datasets.
Key points
Lists and Labels can be filtered by the entire school, department, grade, class, specific students, or applicable parents.
Users can select multiple filter options without the page immediately closing or interrupting the filtering process.
Table headers are now sticky by default, eliminating the need for separate Freeze Header controls.
Student, parent, and family tables have been optimized for faster loading.
An Age column and age-based filtering have been added to the Students list.
Phone numbers shown on the Collections screen now identify whether each number is a home or cell number.
Student-status information now displays correctly on Contracts and Collections tables.
Pages can preserve the user’s scroll position when returning from a detail record to a list.
The side menu can be collapsed to provide additional workspace.
Table-column customizations are preserved more consistently after actions are performed.

Contacts and Data Management
Contact management and family-data workflows have been refined to prevent duplicate information and improve consistency across imported, merged, and AI-assisted records.
Key points
Family imports now group parents correctly when multiple students belong to the same family.
Seti has been updated to recognize family-name and last-name information more consistently.
Family merge screens no longer display the family surname twice.
Blank emergency-contact last names no longer appear as “null.”
Additional validation prevents conflicting minimum and maximum Emergency Contact settings.
Where is it located
These updates apply to family imports, family merge actions, emergency-contact setup, and Seti-assisted workflows.
Additional Usability and Stability Improvements
This release also includes several smaller refinements that improve the overall SchoolSet experience.
Key points
An error that could occur when adding devices has been corrected.
Student image-upload errors now clearly identify when the image exceeds the permitted size.
Date-picker calendars no longer overlap page settings.
Duplicate controls in the Parent Portal have been removed.
Various wording, display, calculation, and performance issues have been corrected throughout the system.
