SchoolSet Release Notes - 06/03/2026

This release delivers a broad set of improvements across SchoolSet, with a strong focus on online registration, forms, documents, payments, contracts, fundraising, family management, scheduling, and system performance. These updates are designed to make registration smoother for parents, give schools more control over billing and document workflows, improve reporting accuracy, and reduce issues in day-to-day administrative tasks.

Online Registration

The online registration process has been improved to give schools more flexibility and to create a clearer experience for parents completing registration.

Key points

  • Registration fields have been expanded and now behave more consistently, including parent names, maiden name, legal names, phone numbers, emergency contacts, and custom fields.

  • Parent information is easier to manage during registration, including improved handling when adding or removing parents.

  • Schools can now manage file and document requirements with better logic, including file categories, student/family file types, and options to avoid requiring the same file every year when it already exists.

  • Payment plan setup has been enhanced with custom installment options, forced day-of-month selections, clearer payment date wording, and improved payment method requirements.

  • Contract and payment details can be shown expanded by default during online registration.

  • Registration balance and payment requirements now display more clearly, including better handling of previous balances, due-today amounts, and required payments.

  • The final registration message can now be customized so parents receive clearer confirmation after submitting their registration.

  • Online registration setup is accessed from Settings → Registration Setup.

  • Parents access online registration through the registration link sent by the school.

Forms

The Forms module has been updated to improve form building, form payments, field mapping, and submission downloads.

Key points

  • The Form Builder drag-and-drop behavior has been improved so new elements can easily be placed in the correct location.

  • Select (dropdown) fields can now show placeholder text instead of automatically selecting the first option.

  • Multi-select fields, dropdown fields, file upload fields, and mapped fields have been improved.

  • Forms can now support repeatable sections when prefilling data, making it easier to generate forms for families with multiple students.

  • Schools are warned before leaving an edited form without saving.

  • AI suggestions have been added to help map form fields to the correct SchoolSet data fields.

  • Payment logic in forms has been improved, including conditional required payments and hidden payment components.

  • Form payments can now be identified more clearly in payment reports.

  • Form submission downloads have been improved, including better handling of filled submissions and uploaded file attachments.

  • Forms are accessed from the Forms module.

  • Form mapping and field setup are managed inside the form builder and form settings.

Documents and Files

Document and file management has been expanded to support better organization, editing, reporting, and generation workflows.

Key points

  • Custom AI generated document templates can be set up for contracts, statements, receipts, and report cards.

  • The AI generated Documents can be updated without always creating a new version.

  • Documents can pull in more connected data, including relatives, emergency contacts, addresses, and report card information.

  • Files can be categorized, making it easier to organize and report on uploaded documents.

  • Schools can distinguish between family files and student files when uploading or editing files.

  • Student files can be shown and managed directly from the student page.

  • A centralized Files section has been added so schools can view, filter, and export uploaded files for all families and students.

  • Schools can reassign documents from family profiles to student profiles when needed.

  • PDF generation issues have been addressed, including parent/student document generation and registration file viewing.

  • Files can be managed from family and student pages, as well as the new Files section.

  • Document templates are managed from the settings for contracts, statements, receipts and report cards.

Financials, Contracts, and Payments

Financial workflows have been strengthened across contracts, payments, receipts, statements, payment plans, and reporting.

Key points

  • Contract creation, contract templates, and custom contract output have been improved.

  • Statements, contracts, and receipts can be customized more flexibly, including content, messages, and templates.

  • Custom AI-generated statements now work more consistently in batch workflows.

  • Receipt behavior has been cleaned up so credits do not incorrectly trigger receipts or show receipt options.

  • Payment receipt accuracy has been improved to prevent incorrect details from appearing on receipts.

  • Payments can now be marked as Disputed which will be treated as cancelled payments.

  • Contracts and payments are accessed from Financial → Contracts and related payment screens.

  • Payment reports are accessed from the Reports menu.

  • Statement, contract, and receipt settings are managed from the settings areas.

Fundraising and Donors

Fundraising and donor workflows have been improved to make pledge, donation, wallet, and receipt management more reliable.

Key points

  • Donor profiles now support wallet visibility and editing, similar to family wallets.

  • Donor import and donor validation have been improved.

  • The Add Donor window now validates required fields more consistently.

  • Pledge editing has been improved, including fund and campaign handling.

  • Donation receipt merge tags now better support fund and campaign-related information.

  • Schools can add custom messages when sending pledge-only payment links.

  • Custom donor columns now retain their display order more consistently.

  • Fundraising payment plans now handle merchant account selection more reliably.

Family and Student Imports

Family, student and donor management has been improved with updated import utilities.

Key points

  • An updated import tool has been released.

  • Import utilities have been expanded to support additional data sets in addition to families, students and donors - including immunizations, custom fields, contract fees, payments, and donations.

  • Address formatting has been improved so imported or corrected addresses better match frontend validation.

Report Cards

Report card workflows have been expanded to improve printing, broadcasting, document generation, and AI support.

Key points

  • Report cards can be selected in bulk for actions such as regeneration, download, and broadcasting.

  • Schools can broadcast selected report cards more easily.

  • Printing report cards can now update report card status when appropriate.

  • Report cards can be included in the custom AI document generator.

Where is it located

  • Report cards are accessed from the Report Cards module.

  • AI document generation is accessed from the report card template under academic settings.

Immunizations

Immunization tools have been updated to better utilize the legal grades and to make grade mapping issues more visible and easier to correct.

Key points

  • Notices now appear when immunization grades are not mapped to legal grades.

  • Missing mapping notices can appear on immunization pages, compliance pages, and student/family immunization tabs.

  • Additional immunization upgrades have been added to improve reliability.

  • Immunizations are accessed from the Immunizations menu.

  • Grade mapping is managed from the immunization setup area.

Calendar, Courses, and Scheduling

Calendar and scheduling tools have been improved to support better course setup, schedule visibility, and calendar accuracy.

Key points

  • Schools can create classes, sessions, and schedules with more flexible setup options.

  • Deactivated courses and inactive schedules no longer display incorrectly.

  • Schedule creation and editing have been improved when working with departments and grades.

  • Weekend schedule slots and closed schedule behavior have been improved.

  • Teacher dropdowns now load properly when creating courses.

  • Calendar dropdown menus now display more clearly without being cut off.

  • Calendar tools are accessed from the Calendar module.

  • Courses are managed from Settings → Subjects → Courses.

  • Schedule setup is managed from Calendar → Schedules.

Transportation

Transportation tracking has been improved to give schools more reliable route visibility.

Key points

  • Bus tracking has been enhanced with additional route handling improvements.

  • Route status messages have been corrected so routes do not remain stuck as “not started.”

  • Route tracking has been improved to prevent active routes from being incorrectly marked as missed.

  • Transportation tools are accessed from Transportation → Routes.

Broadcasts and Communication

Communication tools have been improved across broadcasts, email delivery, voice messages, and receipt emails.

Key points

  • Voice broadcasts now handle audio content more reliably.

  • Broadcast page stability has been improved.

  • Receipt email subjects can be customized.

  • Report cards can be broadcast as part of the report card workflow.

  • Broadcast tools are accessed from the Broadcast menu.

  • Receipt email settings are managed from receipt settings.

Seti, AI, API, and Platform Improvements

This release also includes platform-level improvements to support better automation, performance, integrations, and AI-assisted workflows.

Key points

  • Seti can open by default when logging in and remember its open/closed state after refresh.

  • AI can make targeted edits to existing artifacts.

  • When no custom statement, contract, receipt or report card templates exist, the system can guide users to ask Seti to build one.

  • API access setup has been added for SchoolSet to enable outside API Access to SchoolSet data.

  • Performance has been improved in registration settings, family charges, and large contract lists.
