SchoolSet Release Notes – 05/01/2025

This release introduces several powerful updates aimed at streamlining administrative tasks and enhancing user experiences. New features include template management in the Lists & Labels / Attendance Module, a comprehensive Parent Portal for families, and more flexible payment and statement management options. Additionally, users now have greater control over their account settings and data, and schools can fine-tune user access with the updated Users, Roles & Permissions system.

Users, Roles & Permissions

The Users, Roles & Permissions feature allows school administrators to manage user accounts, roles, and access controls within the system. Admins can add, edit, or remove users, assign roles, and ensure secure access to system features based on individual responsibilities.

Key Points

  • School Admins can add, edit, or delete users, assign roles and permissions, and reset passwords.

  • Roles can be created and updated to control access based on specific permissions.

  • Permissions define access to pages, data, and system functions, restricting users from unauthorized areas.

  • Inaccessible menu items are automatically hidden from users without the required permissions.

  • To manage users and permissions, a user must have permission to access Settings and the ability to add/edit users.

  • If no one in your school currently has permission to manage users or settings, please contact Customer Support for assistance.

  • Parents who have created user accounts can also be managed within the User Management Module.

Where This Is Located

  • Navigate to Settings → Users & Permissions to access this functionality.

User Profile & Password Management

The User Profile page allows users to manage their account details, including updating contact information, resetting passwords, and deleting their accounts if desired. This feature provides users with more control over their personal data and login credentials.

Key Points

  • Users can update their contact information and change their passwords from the User Profile Page.

  • A "Forgot Password" link is now available for users to reset their password via email.

  • Users can delete their accounts from the User Profile page.

Where This Is Located

  • The User Profile page is accessible by clicking on the user’s name in the top right corner.

  • The Forgot Password link is located on the SchoolSet Login Page.

Enhanced Payment Management

Recent updates to the payment system improve payment handling by simplifying credit card management and streamlining payment allocations. Users can now add credit card details directly on the Family Page, and payments are automatically allocated based on outstanding balances.

Key Points

  • Credit card details can now be added directly on the Family Page.

  • Improvements to unallocated payments:

    • The Add/Edit Payment page shows remaining unallocated amounts.

    • The Contract Detail page indicates unallocated payments.

  • Automatic payment allocation:

    • Payments are automatically allocated based on outstanding balances once the payment amount is entered.

    • Allocations can be further applied up to the total balance due, following the fee setup priority.

    • Color-coded checkboxes improve visibility of allocations and indicate when allocations are made that cover the balance due, total outstanding due or another amount.

    • Manual adjustments to allocations are still supported.

Where This Is Located

  • Credit card details can be added to a family by clicking Add Wallet on the Family Detail page.

  • Automatic allocation features are available on the Add/Edit Payment page.

Updates to Statements

Enhancements to the Statements feature offer greater flexibility, including the ability to exclude previous year balances and new language options like Hebrew and Yiddish. This makes statements and emails more accessible and customizable.

Key Points

  • A new option allows you to exclude previous year balances from statements.

    • This option is configured in the Statement General Settings but can be overridden when generating statements manually.

    • For automatic statements, the selection in Statement General Settings determines if previous balances are included.

  • Statements are now available in multiple languages:

    • Statements can be produced in English, Hebrew, or Yiddish.

    • The email sent with the statements can also be configured to display Right-to-Left (RTL) formatting for Hebrew and Yiddish.

Where This Is Located

  • The option to exclude previous balances is found in Statement General Settings and also in the manual statement creation popup.

  • Language selection options are located in Statement General Settings and the Statement Email Template page.

Updates to the Lists & Labels / Attendance Module

A new template feature has been introduced in the Lists & Labels module, making it faster and easier to generate recurring reports. Users can save, reuse, and modify templates to streamline the creation of Lists, Labels, and Attendance Sheets.

Key Points

  • Users can save templates that store selected filters and columns for easy re-use in Lists, Labels, and Attendance Sheets.

  • Templates can be used to instantly generate reports or modified before generating new outputs.

  • Users can save changes to an existing template or save them as a new template.

  • Templates can be kept private for the user that created them or shared globally with other users in the school.

Where This Is Located

  • Templates are available in the Lists and Labels module under the Reports menu.

  • If templates have been saved, users will be prompted to select a template immediately upon launching the Lists and Labels module.

  • A Save Template button is located within the lists and label module at the step before generating reports.

Parent Portal Module

The Parent Portal module provides a centralized and user-friendly experience for families. Schools can invite parents to register via email, giving them secure access to essential tools and information related to their child’s enrollment and account. Permissions are fully customizable by the school.

Key Points

  • Schools can invite parents to register for the Parent Portal through an email link.

  • Once registered, parents can access their dashboard on the Parent Portal.

  • Parents have the ability to:

    • View contract details

    • Make payments toward open balances

    • Manage payment methods

    • Edit family information

    • View immunization records

  • Schools can control what parents can access using the Users, Roles, and Permissions module:

    • For example, schools can choose to allow View-only or Edit access to family information.

Where This Is Located

  • Schools can invite parents to the Parent Portal by navigating to the Parent List and clicking the "Send Parent Portal Invite" action.

  • Parents access the Parent Portal by logging into the SchoolSet URL, just like school users.

    • Once logged in, parents are automatically redirected to the Parent Portal instead of the regular SchoolSet system.
